Getting Started with Your Shipment

At Convelio, we’re here to make your shipment as smooth and efficient as possible. To do that, we rely on having the right information upfront. It allows us to move quickly, avoid delays, and tailor the logistics to your needs from day one.

Below is a quick checklist of what to send us when you’re ready to launch a shipment. Most of this will already have been shared during the quoting stage, this is simply to ensure everything is still up to date and ready to go.

What we need to get started

  • Photo(s) of the item(s) : A clear image of the item so our handlers can visualise the piece and ensure it’s correctly identified throughout the transport process.

  • Double-check item details before launch: Please confirm that the information shared at the quoting stage (including dimensions, weight, materials, quantity) is still accurate. If the shipment is larger, heavier, or includes fragile, high-value, or previously unmentioned items, we may need to adjust the logistics plan and revise the pricing accordingly.

  • Customs status of the item(s): Provide information about the export and import requirements (e.g if goods under a customs regime vs. in free circulation).

  • Deadlines: If your shipment needs to arrive by a specific date, or be exported by a specific date, please let us know as early as possible. We may need to activate express services or priority handling to meet your deadline, which entails revised pricing.

  • Contact details: Please provide full contact information (name, email, phone) for pickup, delivery, and billing. For international shipments, we’ll need the name and contact details of the official importer and of the person or entity paying duties and taxes.

  • Commercial invoice: For exports, a valid commercial invoice in English is required for customs clearance.

Additional information we might need in specific circumstances

  • If you’ve requested white glove delivery: We assume standard access (no steps, elevator access). If the delivery location involves stairs, narrow doorways, or special equipment, just flag it to us in advance so we can adapt the service and pricing accordingly.

  • If your item is already crated: Please send us a photo of the item before it was crated (not a catalog or website image), and photos of the crate, inside and outside, before and after packing. This helps us properly assess the shipment and ensure it’s covered by our insurance.

  • If it’s a shipment by sea freight containing 10+ items or 5+ crates: We’ll need a detailed packing list including the name, photo, dimensions, and value of each item. We’re happy to provide a template and assist you in filling it out.
