Why do we collect and use your Personal Data ?

We collect Your Personal Data during interviews we conduct by audio-conference, video-conference or in person in order to obtain feedback from You regarding our Services.

Those feedback may then be used by Convelio for internal purposes so we better communicate about our Services, improve them and provide You with the most dedicated experience for shipping Your valuable goods. In that context, You accept to assign to Convelio the intellectual property rights - if any - in those feedback.

This processing of Your Personal Data relies on Convelio’s legitimate interest in improving its Services.

Those interviews may be recorded (audio and video) by Convelio in order to facilitate the process of notes taking and extraction of verbatim, and to enable the user research team-member that conducts the interview to get back to its content later on. Convelio will record the interviews only if You provide Your free, specific, informed and unambiguous consent.

This processing may rely on the execution of a contract if You are contacted as a client or a supplier.

Please note that we may also execute statistical analysis but only on anonymized data.

What type of information do we collect ?

During the interview we will conduct with You, we may collect the following information:

  • Your name;

  • Your company name;

  • Your email address;

  • Verbatim of our conversation;

  • Your image and voice if You provided Your consent;

  • Any personal information that You will disclose during our conversation.

This list is not exhaustive and we may collect any other Personal Data that You will disclose to us during the interview.

How do we collect your personal information ?

While conducting the interview, our user research team will collect Your Personal Data when taking notes about your conversation.

The interview will be recorded by Convelio if You have provided your consent.

How do we use your personal information?

The content of Your interview, including Your Personal Data, is used by the team at Convelio dedicated to user research for the sole purpose of improving our Services. Convelio may extract some verbatim from the interview for that purpose. Those verbatim are pseudonymized by Convelio.

We might share Your Personal Data internally with Convelio’s and Convelio’s affiliates teams that are involved in the improvement of our Services. For that purpose, Your Personal Data will be pseudonymized.

The recording of the interview - if any - is used solely for internal purpose by the user research team only in order to facilitate the process of notes taking and extraction of verbatim, and to enable the user research team-member that conducts the interview to get back to its content later on.

Finally, Your Personal Data may be shared with IT service providers that provide hosting or call center and phone services.

When we need to transfer Your Personal Data outside of the European Union, the transfer relies on the Standard contractual clauses approved by the European Commission which regulate the transfer of personal data outside of the EU between the different entities of Convelio Group (in order to provide You with the quickest answer as possible) or with our IT services providers, who may locate their storage servers and data centres or their maintenance team in the US or other countries.

Convelio has taken all necessary and adequate measures to ensure a level of protection and security of personal data in accordance with the prerequisites imposed by the Data Protection Laws.

How long do we retain Your personal information?

We will keep Personal Data for as long as is reasonably necessary for the purposes for which we collect it.

Where we hold Personal Data to comply with a legal or regulatory obligation, we will keep the information for at least as long as is required to comply with that obligation.

What are Your rights regarding Your personal information?

  • Identity and contact details of data controller:

    • Convelio is the data controller and You can request any information by writing to data-privacy@convelio.com or CONVELIO - WeWork 198 Avenue de France, 75013, Paris, France

  • Rights of the data subject (within the limits of the regulations and legislation in force)

    • right to be informed: You have the right to know all necessary information about Your Personal Data processing. For additional questions, please contact our team.

    • right to access: You can ask for a copy of Your Personal Data any time.

    • right to rectification: if information we have about You is incorrect or incomplete, please let us know and we will make the correction immediately.

    • right to erasure or right to be forgotten: You can ask for us to delete Your Personal Data from our databases any time. For instance, the right to withdraw your consent to be recorded. We will stop the processing of the recorded information from this moment.

    • right to data portability: You can ask for Your Personal Data with the intention of sending it to other providers unless Your data is processed on the basis of Convelio’s legitimate interest.

    • right to object: You can deny us the right to use Your Personal Data every time such processing is based on Convelio’s legitimate interests.

    • right to restrict processing of personal data in the cases provided for by law and regulation.

  • For any of these situations, please send an email to data-privacy@convelio.com or a post request to CONVELIO - WeWork 198 Avenue de France, 75013, Paris, France. Depending on the request, we may ask You to provide proof of identification.

  • You have the right to lodge a complaint to a regulatory authority for any potential misuse.
